Terms & conditions

Please read these rules carefully before you join the club or use this website. They cover membership, your information and privacy, the ID card, events, conduct and safety.

In short

  • Give true information. False information can lead to rejection or removal from the club.
  • Your Member ID and date of birth work like a key to your information. Keep them private.
  • We use your information only to run the club: checking applications, events, safety and communication. We never sell it.
  • Only approved members can register for events and print the ID card.
  • You can update your information in the yearly update or after the club approves your request. Older versions are kept in a private archive.
  • You can ask to leave the club and have all your information deleted for good.
  • Be respectful and safe in the lab, at events and online. Serious or repeated breaches can lead to suspension or removal.

This is only a summary. The full rules below are what count.

1. About these terms

↑ Contents

These terms are the rules between Do_Programming Club (“the club”, “we”) and everyone who uses this website or takes part in club activities (“you”).

  • When you apply to join, register for an event, update your information, check your status or use any other part of this website, you accept these terms.
  • If you do not agree with any part, please do not apply or use the website.
  • If you are under 18, please read these terms together with your parent or guardian.
  • These terms are written in English and Bangla to mean the same thing. If anything looks different or unclear, ask the committee and we will explain what is meant.

2. Who can join

↑ Contents

The club welcomes students and young people who are curious about programming, robotics, science experiments and innovation.

  • Students of any school, college or other institution can apply. People who are not studying now (employed or unemployed) can also apply, and tell us about their work or last education.
  • One person can hold only one membership. One phone number and one email address can belong to only one member.
  • You must give correct, complete and current information, including your real date of birth.
  • Applicants under 18 must give a parent or guardian’s name, phone number and consent in the form.
  • The committee can reject an application, put it on hold or ask for more information, for example when it is incomplete, repeated or contains false information.

3. Applying and approval

↑ Contents
  • After you submit the form you get a Tracking ID. This is your Member ID. Write it down.
  • If you lose your ID, you can find it again on the Track page using your phone number or email together with your date of birth.
  • The Track page shows your status: Pending review, Approved or Rejected.
  • Applying does not make you a member. Membership starts only when the committee approves your application.
  • Our committee members are volunteers, so we cannot promise how fast an application is reviewed.
  • Until your application is approved you cannot register for events or print an ID card.
  • The committee decides in good faith. If your application is rejected you can contact us to ask why.

4. Information we collect

↑ Contents

We collect only what the club needs. Depending on what you do on the website, this can include:

  • About you: full name, date of birth, gender, phone number, WhatsApp number, email and present address.
  • Education and work: your school, college or institution, class or year, group and roll or student ID. If you are not studying: whether you are employed or unemployed, type of work, workplace, since when, your future employment goal, and your last education.
  • About your interest in the club: your interests, skills, why you want to join, and your past events and project experience.
  • For safety: blood group, and your emergency contact’s name, relation and phone. If you are under 18, also your guardian’s name, relation, phone and consent.
  • Your photo: the photo you upload. We store a larger copy for the ID card and a small copy for the website.
  • Your consents: the declaration, the privacy agreement, and your choice about photos and videos at events.
  • Club records: your Tracking ID, application date, status, post (if any), event registrations and pass IDs, update and leave requests with their reasons, and problem reports you send.
  • In your browser: the website remembers your language and keeps some temporary data so pages load faster. The website itself does not run advertising or tracking scripts.

5. How we use your information

↑ Contents
  • To review your application, make a decision and let you check your status.
  • To make sure it is really you when you check status, register for an event, update your information or ask to leave. For this we ask for your ID (or phone or email) and your date of birth.
  • To make your ID card and to check membership at events.
  • To run events: count seats, issue pass IDs and contact you about them.
  • To keep members safe, for example by contacting your emergency contact or guardian.
  • To share club news and answer the problems you report.
  • To understand the club better, for example how many members come from each institution. We do this with counts, not by naming people.

We do not sell your information and we do not use it for advertising.

6. Who can see your information

↑ Contents
  • Inside the club: only a small number of committee members and administrators who manage the club’s records can see full member information. They must use it only for club work.
  • On public pages: if you hold a post (for example President or Treasurer), your name, post, area of interest, institution and small photo are shown on the Team page. Event pages show only how many seats are left, never names.
  • The Track page and the ID card show your details only to someone who knows your ID (or phone or email) and your date of birth.
  • Service providers: records are kept in Google Sheets (Google) and the website runs on Vercel. They handle data for us under their own terms.
  • QR code: when your ID card is shown or printed, the link inside its QR code (it contains your Member ID, nothing else) is turned into a picture by an online QR code service (api.qrserver.com).
  • Notifications: new applications, requests and reports may be forwarded by email to the committee’s email address.
  • WhatsApp: when you click a WhatsApp button, WhatsApp’s own terms and privacy rules apply to that chat.
  • The law: we may share only the necessary part of your information if the law requires it, or to protect someone’s safety.

7. Photos and media

↑ Contents
  • The photo you upload is printed on your ID card. A small copy is kept in club records and, if you hold a post, appears on the Team page.
  • Upload a clear photo of yourself looking at the camera, with your face in the centre. The website crops it to the shape of the card.
  • Do not upload someone else’s photo, or a photo that is edited, filtered or misleading. We may ask you for a new photo.
  • Girls who observe purdah: please give your photo the way you appear when you go outside, in your purdah as you normally wear it in public. The same photo is printed on your ID card.
  • At events the club may take photos and videos. When you join you choose “Allowed” or “Not allowed”. We follow your choice when publishing photos and videos in which you clearly appear. You can change your choice by contacting us or in the update form.
  • If you change your choice, we will remove your photos and videos from our own pages and accounts where we reasonably can. Things already printed or shared by other people cannot always be taken back.
  • Do not photograph or record other members, especially younger ones, and share it without their permission.

8. Keeping your information safe

↑ Contents

Your Member ID together with your date of birth works like a key to your information.

  • Keep your ID and date of birth private. The club will never ask you to post them in a group or send them to someone you do not know.
  • You are responsible for what is done with your ID and date of birth. If you think someone else is using them, tell us at once.
  • To stop guessing, after 8 wrong tries for the same ID or phone number the website blocks more tries for 10 minutes, even if the next try is correct.
  • Never try to guess another person’s ID, phone number or date of birth. This is a serious breach of these terms.
  • If you cannot get in, use the “Having trouble?” page or message us on WhatsApp.

9. Member ID and ID card

↑ Contents
  • After approval you can view and print your ID card from the Track page at any time, using your ID and date of birth. It prints on two pages: front, then back.
  • The card is personal. Do not lend, copy, sell or let anyone else use it. Show it at events when asked.
  • Do not change, edit or forge the card, the photo, the signature, the QR code or the barcode. A forged card is a serious breach.
  • The back of the card shows your blood group and emergency phone number so that help can be given quickly, along with your Member ID, QR code and barcode. Keep the card safe: if it is lost, whoever finds it can see these details.
  • The validity printed on the card shows the period it is meant for. The club may announce a renewal or a reprint.
  • The club’s name, logo and card design belong to the club. Use the card only to show that you are a member. Do not use it to claim that you speak or act for the club.
  • If your card is lost or misused, tell us. You can print it again from the Track page.
  • When your membership ends, because you leave or are removed, the card stops being valid and must not be used.

10. Events and registration

↑ Contents
  • Only approved members can register. You register on the event page with your Member ID and date of birth.
  • Each member can take one seat per event. Seats are limited and are given in the order of registration. When an event is closed or full, you cannot register.
  • After registering you get a Pass ID. Save it and show it at the venue.
  • If you cannot come, tell us early so your seat can go to someone else. Repeatedly not turning up may affect your future registrations.
  • Events can be moved, changed or cancelled. We will announce it on the website or contact you.
  • Your name, institution, phone and email for the registration are taken from your member record. Keep your record up to date.
  • Follow the organisers’ instructions and the safety and venue rules. Organisers may refuse entry, or ask someone to leave, for bad behaviour or safety reasons.
  • Members under 18 should have their guardian’s permission to attend, and the club may ask for it.

11. Code of conduct

↑ Contents
  • Be respectful, kind and helpful to every member, mentor and guest, in the lab, at events and in the club’s online groups.
  • No bullying, harassment, threats, abuse or discrimination because of gender, religion, region, family background, appearance or ability. Respect each other’s beliefs and privacy.
  • Do not share another person’s private information, photos or messages without their permission.
  • Be honest. Do not cheat, and do not present someone else’s work as your own.
  • Do not bring or use anything illegal or dangerous, such as weapons, drugs or harmful substances, in club places or at events.
  • Do not use the club’s name, logo or other members’ contact details for personal gain, advertising, politics or fundraising without the committee’s written permission.
  • Follow the instructions of mentors, committee members and organisers.

12. Lab, equipment and safety

↑ Contents
  • Use hardware such as Arduino boards, sensors, motors, batteries and tools only for the activity and in the way you were shown. Ask if you are not sure.
  • Do not work alone with mains electricity, soldering irons, batteries that can overheat, sharp tools or chemicals. Younger members must have a mentor present.
  • Use the safety equipment mentors ask for. Keep your workspace tidy, and switch off and put away everything after use.
  • Tell a mentor straight away about any accident, injury, damage or unsafe thing.
  • Take care of club property and do not take equipment out without permission. If you damage or lose something, tell us. If it happened through carelessness or on purpose, you or your guardian may be asked to help repair or replace it.
  • The club is not responsible for your own belongings such as phones, laptops and bags.

13. Projects, code and ownership

↑ Contents
  • What you create on your own stays yours.
  • Projects built together in the club are credited to the student builders and the club. The club may show them (photos, videos, descriptions, links) on the website and social pages with credit.
  • Members are encouraged to document and share their code openly and ethically. Follow licences and give credit. Do not copy code, images, designs or text that you have no right to use.
  • Do not present a team project as only your own work in contests, applications or exams without crediting the team.
  • The club’s name, logo and designs belong to the club.

14. Using this website properly

↑ Contents
  • Use the website for what it is for: applying, checking status, registering for events, updating your information, leaving the club and reporting problems.
  • Do not try to see other people’s data, guess IDs, phone numbers or dates of birth, get around the checks, overload the website, run automatic scripts or upload harmful files. This can lead to removal and, if serious, can be reported to the authorities.
  • Give true information in every form and report. Do not send fake applications or reports.
  • The website depends on other services, so it may sometimes be slow or unavailable. We will try to fix problems quickly.
  • If you find a bug or a security problem, tell us through the “Having trouble?” page. Do not use it for your own benefit.

15. Updating your information

↑ Contents

Please keep your information up to date, for example your phone, email, institution, class and work. You can update it in two ways on the “Update my information” page:

  • Yearly update: every year the committee announces dates. During those dates every approved member can update their information without asking.
  • By request: outside those dates, send a request and explain the reason, for example that you changed your college. After the committee approves it you can edit everything except your Member ID. One approval allows one update.
  • You need your Member ID and date of birth. When you save, you must accept the declaration and the privacy agreement again.
  • Your Member ID never changes when you update.
  • If your request is not approved, the committee may leave a note explaining why. You can send a new request with more details.
  • If you correct your date of birth, use the new date from then on. For important changes, such as your name or date of birth, the committee may ask you for proof.

16. How long we keep information, and older versions

↑ Contents
  • We keep your membership information for as long as you are a member.
  • Each time you update your information, the earlier version is saved in a private archive that only the committee and administrators can see. We keep it so the club has an accurate record of what changed, and can fix mistakes or look into misuse.
  • Applications that are still pending or were rejected are kept only as long as needed for review and records. You can ask us to delete them at any time.
  • Event registrations are kept together with your member record.
  • If you leave and ask for deletion, the archive copies are deleted too (see the next section).

Our records are kept in Google Sheets. Earlier versions of a sheet may stay for a while in Google’s own version history or backups, which the club cannot fully control.

17. Leaving the club and deleting your information

↑ Contents

Deleting your information is permanent. It cannot be undone. If you want to join again later, you apply again as a new member with a new ID.

  • You can leave at any time. To have all your information deleted, use the “Leave the club” page with your Member ID, date of birth and the phone number we should message.
  • We do not delete at once. The committee first reviews the request, so that nobody’s records are removed by mistake or by someone else. After approval we delete your information.
  • What is deleted: your application and member record, your photos, your ID card data, your event registrations, all earlier versions in the archive, and your problem reports and other requests.
  • What stays for a short time: a small record of the request itself (request number, date, your Member ID, the phone number and the confirmation message we send you). We delete this too once we have sent you the message.
  • After deleting we send a message to the phone number you gave. Please check that number carefully: we cannot message a different one.
  • After deletion your ID card stops being valid, you cannot register for events, and your data cannot be recovered.
  • Things that were already published or shared, such as photos in posts, project credits, printed material or messages in groups, may not be fully removable. We will take them off our own pages where we reasonably can.
  • If the law requires us to keep something, we keep only that part.
  • Until your request is approved your membership stays active. If you change your mind, tell us through the “Having trouble?” page before we delete.
  • People whose application is still pending or was rejected can ask for deletion in the same way.

18. Your choices

↑ Contents
  • See: you can see your main details on the Track page, and you can ask us for a copy of the information we hold about you.
  • Correct: use the “Update my information” page, or ask us to fix a mistake.
  • Photos and videos: you can change your choice at any time.
  • Delete: use the “Leave the club” page.
  • Question or complaint: contact us. If you are not happy with our answer, you can raise it with the club committee.
  • To use these choices we must be sure it is really you, so we may ask you to verify with your Member ID and date of birth.

19. Members under 18 and guardians

↑ Contents
  • An applicant under 18 gives the guardian’s name, relation, phone number and consent in the form. The guardian is responsible for confirming permission and that the information is correct.
  • A guardian can ask to see, correct or delete the child’s information by contacting us. We may ask for proof of the relationship.
  • Club activities for young members are supervised by mentors and committee members. Guardians remain responsible for travel to and from the venue and for behaviour outside supervised time.
  • The club may contact the guardian about the child’s safety, attendance or behaviour.
  • If anyone is worried about the safety of a young member, they should tell the committee at once through the “Having trouble?” page or on WhatsApp.
  • When a member turns 18, their own consent counts from then.

20. Health and emergencies

↑ Contents
  • We ask for your blood group and an emergency contact only for your safety.
  • In an emergency we may contact your emergency contact or guardian, call for medical help, and tell doctors your blood group and any health information you gave us.
  • If you have a health condition or allergy that matters for lab work or events, please tell a mentor in person. The website form does not ask for it.
  • The club can give only basic first aid. It is not a medical service.

21. Warnings, suspension and removal

↑ Contents
  • Breaking these terms, for example giving false information, harassing someone, misusing an ID card, trying to hack the website, behaving unsafely or damaging property, can lead to a reminder, a warning, a temporary suspension (no events, card paused), or removal from membership.
  • For serious matters, such as threats to safety, abuse, forged cards or deliberate damage, a member can be suspended at once while we look into it.
  • The committee decides and tells you the reason. You can explain your side and ask the committee to think again.
  • If you are removed, your card stops being valid. The committee may keep a short note about the reason so that a removed person is not accepted again by mistake. You can later ask for the rest of your information to be deleted.
  • Serious illegal acts may be reported to guardians, the school or college, or the authorities.

22. Fees and payments

↑ Contents
  • This website does not take any payment.
  • If an event, workshop, kit or material has a cost, it will be announced clearly on the event page or by the committee before you register.
  • Never pay anyone who says they are from the club without first checking with the committee on the club’s official contacts.
  • Membership approval cannot be bought. Nobody can promise approval in return for money or favours.

23. Limits of our responsibility

↑ Contents
  • We try to keep the website correct and running, but we cannot promise that it will always be free of mistakes or always available. Problems with Google, Vercel or the internet can stop it.
  • Details such as event dates and seats left can change.
  • The club is not responsible for loss caused by you sharing your ID, date of birth or ID card, by wrong information you gave, or by someone else misusing them after you shared them.
  • Hands-on activities carry some risk. We take reasonable care and rely on everyone to follow the safety rules. The club cannot be responsible for harm caused by ignoring instructions.
  • Links to other websites, such as GitHub, WhatsApp and Facebook, lead to places we do not control.

24. Changes to these terms

↑ Contents
  • We may change these terms as the club and the website grow, for example when we add new features. The date at the end of this page shows the latest update.
  • We will announce important changes on the website or to members. If you keep using the website or taking part after a change, it means you accept the new terms.
  • If you do not agree with a change, you can leave the club.

25. Governing rules and settling disagreements

↑ Contents
  • These terms are governed by the laws of Bangladesh.
  • If there is a disagreement, first talk to a mentor or a committee member. The committee will try to settle it fairly and respectfully.
  • If any part of these terms is found invalid, the rest still applies.

26. Contact us

Questions, corrections or worries about these terms or about your information? Tell us and we will help.
